Resumes are being accepted for the full-time position of Scheduler within the Guelph Wellington Paramedic Service. The successful candidate will be responsible for maintaining and scheduling all assigned Guelph Wellington Paramedic Service staff and maintaining all related data files with a focus on quality customer service and continuous improvement processes. Guided by the goals and objectives of the City of Guelph Corporate Strategic Plan and committed to the Corporate Values of integrity, service, inclusion, wellness and learning, the candidate will aid in the achievement of the Community Vision for an inclusive, connected, prosperous city. Your role Ensures Paramedic staffing requirements are consistently met and maintained in accordance with established Guelph Wellington Paramedic Service deployment and staffing policies. Assigns each classification of Paramedic staff to their appropriate schedule assignments and locations according to all related policies and applicable collective agreements. Accepts or denies and processes requests for vacation, paid time off, approved leaves, shift changes, and sick bookings. Manages schedules for STD, LTD, WSIB, maternity/paternity, preceptoring, educational leaves, etc., schedules personnel for special event assignments. Routinely reports and updates local Base Hospital of employee status. Fills short notice open shifts according to collective agreement. Obtains and maintains a working knowledge of all Guelph-Wellington Paramedic stations, vehicles, and employees and their locations as it relates to scheduling Maintains the staffing and settings within JBS (Jacobs Business Systems) database. Provides adequate notification within Collective agreement to paramedics of upcoming and changing shift assignments. Creates and maintains accurate and detailed records of all scheduling and shift assignment transactions. Maintains current updated seniority lists. Assigns and schedules applicable staff to attend Paramedic in-service, Base Hospital and Ministry of Health continuing education classes. Create, track, and post internal position postings in accordance with the collective agreement. Maintains a good working knowledge of JBS computer database systems, continually reviews and troubleshoots software and provides ongoing feedback to ensure computer needs are met. Collects, verifies, enters, transmits, and files payroll data. May be required to train others how to perform tasks or duties by familiarizing new employees with the work area and processes. Analyses and reports data in various electronic formats. Assists in clerical duties as necessary based on fluctuating administrative demands, and/or in support of the Guelph Wellington Paramedic Administrative Support position, including data entry, maintaining confidential reports, compiling statistics, processing mail, and reception. Works in accordance with the provisions of applicable Health and Safety legislation and all City of Guelph corporate and departmental policies and procedures related to Occupational Health and Safety. Perform other related duties as assigned. Qualifications Experience related to the duties listed above, normally acquired through the completion of a Grade 12 diploma plus 2 years scheduling experience for a medium size workforce, preferably within a 24/7, unionized environment. Candidates with an equivalent combination of education and experience may be considered. Knowledge of Ambulance Act, Personal Health Information Protection Act and land ambulance documentation standards. Previous experience working within an emergency service with an understanding of EMS in relation to scheduling preference priorities would be an asset. Intermediate computer skills using Outlook, Word, Excel, Access and related scheduling software (i.e. JBS Time Manager and Scheduling Agent). Intermediate keyboarding skills with strong attention to detail and accuracy. Excellent interpersonal, organizational and communication skills. Ability to work independently, the ability to multi-task to meet staff scheduling requirements. Strong planning and analytical skills with the ability to interpret and implement collective agreements language relative to scheduling, internal job postings and seniority. Excellent customer service skills. Knowledge of Occupational Health & Safety Act.
