About the job Scope of Position: This position performs a variety of support functions key to the successful Public Health program delivery. The Program Assistant uses a variety of computer applications, problem solving and judgment skills to develop and maintain effective processes. Ensure the planned health unit programs and services are in alignment with the Ontario Public Health Standards. Establish a strategic communication plan with the Health and Social Services Department. Position Description: To assist all external and internal customers in a friendly, positive, professional and time sensitive manner. To conduct switchboard and front-counter operations and provide a broad range of information in response to customer inquiries as needed (i.e. email follow-up). To maintain and administrate the File Trail database which includes creating/preparing new files, changes to existing files, printing Records Management usage reports. To assist program delivery by using divisional databases and web-based applications including but not limited to Maxident, iPHIS, Hedgehog, Panorama Immunization and Panorama Inventory modules, DWARS, ISCIS, OHISS, CCM, etc. To provide clerical support using Corporate standard software including Microsoft Office and Sharepoint. To record and distribute Agendas and Minutes for various committee meetings. To schedule various internal and external appointments and events. To process incoming and outgoing mail. To contribute to the identification and prioritization of areas for improvement within the six dimensions of quality (safe, effective, efficient, timely, person-centred and equitable). To engage with colleagues in a systematic approach to quality improvement, including the definition of the purpose and scope; development, testing and implementation of change ideas; and measurement of reach and impact. Other duties as assigned.
