In this role, reporting into our COO, you’ll be responsible for managing the smooth running of our day-to-day operations, including liaising with external parties, such as building maintenance, posting informative and engaging comms to our BlueRockers and assisting to create delightful events for our office. You’ll also be an ambassador for the BlueRock brand and our values, working to ensure our vibe is represented in everything you do. This role goes beyond traditional receptionist duties and requires someone with a passion for making a positive impact on the office environment and enhancing the overall experience for both clients and employees. This role is based at our amazing Rialto headquarters. About The BlueRock Operations Team BlueRock Operations supports our various advisory divisions to make our BlueRock employees lives easier and more enjoyable. Our Operations team comprises finance, people & culture, marketing and IT professionals. We are pioneers of innovation and always on the lookout for ways to improve processes so our teams can get back to the important stuff, supporting our clients. What You’ll Be Doing On The Daily Keeping our workspace neat and tidy, ensuring our meeting rooms are set up and ready to go for our clients and visitors Maintaining a fantastic employee experience, including planning and executing events from office meetings to social activities, including team planning days or lunch and learns, as well as assist with organising client-facing events, workshops, and seminars and collaborating with teams to ensure successful event execution and excellent guest experiences Working with our Receptionist to provide reception cover to provide a smooth, exceptional client experience, including welcoming clients and employees warmly, answering and directing phone calls, managing meeting rooms, maintaining a clean and organised reception area and mail and package handling, sorting and scanning Create awesome collateral using Figma and Powerpoint, such as posters and signage, and craft clever comms to our office to invite them to events or update them on important office matters Supporting our CEO and COO with initiating and implementing creative ideas to foster a positive and inclusive office culture (eg wellness sessions; team bonding sessions; leading our OHS club) and actively gathering feedback from employees to identify areas for improvement and propose solutions Monitoring and restocking office supplies, equipment and refreshments Facilities management, including office maintenance to ensure a safe and functional workspace and liaising with building management for repairs and maintenance Using technology to run your day to day from Cognito forms to Teams to Power BI Requirements We want to hear from people who have: 2+ years of experience in operations, or administration in a related industry such as professional services or a start-up Excellent communication and interpersonal skills Strong organisations and time-management skills including the ability to multitask and work independently Demonstrated ability to take initiative, think creatively, and propose innovative ideas Proficiency in using office software and technology (e.g., MS Office, scheduling tools) Flexibility and willingness to assist with various office tasks as needed Passion for creating a positive and inclusive workplace culture Benefits Our people love to work for us, here’s why!
