About the role: As part of the QHSE Department, this role supports the QHSE Manager – Pacific for QHSE administration, sustainability, documentation, reports & audits both locally & Pacific region. What you will be doing: Pacific region Tasks B’Excellent, Safety Hub, B’Progress & Other QHSE Platforms Manage admin-related tasks for coordinating actions for B’Excellent, Safety Hub, B’Progress, and other related QHSE Platforms Assist document control for the region’s QHSE Management System QHSE Training & Record Keeping Work closely with HR & other stakeholders to ensure that QHSE training-related matters (training matrix, training completion, training manhours) are recorded and kept up to date. QHSE related Follow-ups Take a proactive approach to follow up with different sites and/or stakeholders to ensure all the ongoing/pending actions are completed before the due date. QHSE Audits Support QHSE Manager – Pacific for coordinating activities for completing internal & external QHSE Audits. Extra Mile Projects Support QHSE Manager – Pacific for coordinating activities & reporting needs for the Extra Mile Projects. QHSE Activity Planner Support each site to initiate, complete and ongoing updates of the site-specific QHSE Activity Planner. Go SAFE Projects / Continual Improvement Support QHSE Manager – Pacific and each site to manage Go SAFE projects for the year 2023 and other Continual Improvement Projects as assigned. Monthly, Quarterly, and Annual QHSE Reporting Ensure monthly, quarterly, and annual Pacific QHSE reports are completed and accurate Share Collate site QHSE reports & generate Pacific region QHSE reports with the QHSE Manager – Pacific. Support to complete QHSE Flash Comments monthly. Other QHSE Tasks Manage other QHSE tasks as assigned from time to time-based on business requirement Site Level QHSE Tasks Activity Planners (QHSE) Meeting with key Managers for their Branch / Site on a monthly basis to ensure they are aware of & complete the activities for the month, and an action plan for the completion is formed & executed QHSE Notice Boards Regular checks of the QHSE Notice Boards for the site are carried out to ensure that information is current and up to date Improvement Forms and Incident Reports Assist staff to complete Improvement Forms and Incident Reports to ensure the correct information is collected, and the matter is investigated thoroughly to ensure the best outcome Any incidents that are required to be reported to External Sources are done so within the required timeframe Emergency Response Scenarios Assist the various Wardens in planning emergency response scenarios and recording the outcomes on the Emergency Response Review Form and ensuring any outcomes from the scenarios are followed up and actioned QHSE Inspections Ensure that the required company & regulatory QHSE inspections are completed and updated in the company systems regularly QHSE Risk Assessments Lead from the front to work closely with the stakeholders to complete, update & review site-level QHSE Risk Assessments & countermeasures as per company procedures Procedures and Documents Coordinate the distribution of any procedures or documents that may be relevant to the Branch / Site and ensure that Acknowledgement or Training forms are uploaded as requested BCMS Review Business Continuity Plans regularly to ensure relevance in support of overall Site BCP Execute Business Continuity Plan during a crisis as per BCMS documents TAPA / Security Work closely with Site Manager to ensure security-related requirements are complied with Sustainability Scope 1 & Carbon Emission Actions Work closely with the required internal & external stakeholders to brainstorm, initiate, manage & complete annual actions to reduce Scope 1 & 2 Carbon Emissions aligned to meet Bollore Logistics' goals on Sustainability Capability Building Collaborate with the Regional Sustainability team members & other stakeholders to align outcomes with the sustainability strategy and facilitate sustainability engagement and training for internal and external stakeholders Reporting Work closely with the QHSE Manager – Pacific, Head of Sustainability – ASPAC region, Finance, and Sites to manage multiple Sustainability related reports and backup data Other Support on other Sustainability actions as defined from time to time for the Pacific region. Requirements The successful candidate: Essential: Qualifications in Quality and/or Health, Safety & Environment.
